Event Coordinator
The American Constitution Society (ACS) seeks a highly organized, collaborative, creative, and detail-oriented events professional to serve as Event Coordinator. Reporting to the Executive Vice President and collaborating with all levels of the ACS team, the Event Coordinator has a unique opportunity to support ambitious goals around expansion of in-person events for the nation’s leading progressive legal organization. This role provides strategic leadership and support to help us produce a variety of in-person and hybrid events, such as the ACS national convention held in June in Washington, DC, convenings, chapter events around the country, fundraisers, and meetings.
ROLES/RESPONSIBILITIES
Event Strategy, Planning & Execution
- Event production and execution from concept to completion, including developing and managing timelines, budgets, invitations and registrations, event walk through, tech oversight, staff and outside support, etc.
- Manage venue selection, vendor negotiations, and contract oversight.
- Collaborate with external and internal members during planning meetings, take detailed notes and report out on planning activities.
- Develop and document best practices for event planning and execution.
- Manage databases of potential venues, partners, sponsors, speakers and event mailing lists.
- Manage guest registration systems and post-event follow-up.
- Provide technological support in all our web platforms such as Zoom, Teams and others.
- Coordinate logistical tasks for events, e.g. venue, catering, speakers, logistics, reimbursements, CLE
- Oversee on-site event operations and troubleshoot issues as they arise.
- Evaluate event outcomes and provide performance reports.
- Work with our Development team to help execute opportunities to use existing and new ACS events as fundraising vehicles.
- Where other teams take the lead in planning events, provide event support as needed.
- Represent ACS publicly in a manner consistent with our mission and values.
Marketing
- Grow the organization’s attendance and engagement through innovative, dynamic marketing strategies.
- Work with our Communications and other teams to develop effective communications and increase ACS visibility through marketing with network and potential new members, including through social media and our website, for select events.
- Report regular progress against strategic and operational goals, including network engagement and stewardship touchpoints, revenue targets, performance of marketing outreach, and pipeline management details. Lead efforts to engage and cultivate current and prospective network members to increase attendance.
PROFESSIONAL EXPERIENCES/QUALIFICATIONS/COMPETENCIES
Candidates should possess four or more years of successful event planning with increasing responsibility. Desired qualities and background include:
- Strong event planning, outreach, and marketing skills.
- Excellent organizational skills including the ability to simultaneously plan and manage multiple projects.
- Commitment to highest ethical standards and ability to understand venue contracts.
- Strong negotiation and budgeting skills.
- Superb attention to detail and ability to reliably adhere to deadlines.
- Excellent communication and collaboration skills. Strategic thinker with organizational, project management, and problem-solving skills.
- Deep knowledge of virtual event platforms such as Zoom, Teams etc.
- Accurate and reliable data entry skills and familiarity with Salesforce, Pardot, and DonorBox.
- Proficiency with standard office software, including Microsoft Office and event management software.
- Proficiency with Canva or other graphic design and visual communication platform.
- Experience building, managing, and expanding relationships with diverse constituencies, both internal and external.
- Commitment to ACS’s mission and vision, experience in the pro-democracy and/or legal field a plus.
- Possess a command of cultural sensitivity and value and embrace cultural, political, and social differences. The Event Coordinator will contribute to an environment that encourages diversity, equity, and inclusion.
- Strong professional ethics, transparency, integrity, and accountability in all actions.
- Ability to work occasional evenings and weekends.
- Occasional travel required.
BENEFITS AND COMPENSATION
- Salary range for this role is $50,000 - $70,000.
- 4-day work week schedule.

Location
ACS has a flexible remote work policy, but this position is based in Washington, DC. The Event Coordinator may work hybrid in-office/remotely, but in-person work and visits are required as needed.
