ACS Executive Assistant Job Description

ACS is hiring an Executive Assistant to support our President and Executive Vice President.

The Executive Assistant provides high-level administrative support to the President and Executive Vice President and plays a critical role in supporting the Development team. This position ensures the smooth functioning of executive leadership activities while also assisting with donor engagement, events, and fundraising operations. The role requires exceptional organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced nonprofit environment.

Key Responsibilities

Executive Support

  • Provide direct administrative support to the President and Executive Vice President, including managing calendars, scheduling meetings, arranging travel, and preparing materials.
  • Draft, edit, and proofread correspondence, presentations, and reports.
  • Support Board of Directors activities, including meeting preparation, minutes, logistics, and follow-up.
  • Serve as a liaison between executive leadership, staff, and external stakeholders, ensuring timely communication and follow-through.

Development Support

  • Assist the Development team with operational support for donor cultivation, stewardship, and communications.
  • Maintain accurate and up-to-date donor records in the Salesforce database
  • Provide administrative support for fundraising campaigns, grant tracking, and prospect research.
  • Support planning and execution of special events, including invitations, RSVPs, logistics, and onsite coordination.

Operations & General Support

  • Help coordinate cross-departmental projects, ensuring timely completion of tasks.
  • Contribute to organizational culture by modeling professionalism, collaboration, and commitment to the mission.

Qualifications

Education & Experience

  • Associate’s or Bachelor’s degree preferred, or equivalent relevant experience.
  • 4-6 years of administrative experience, ideally in a nonprofit, government (Hill or Executive Branch agency), or development/fundraising environment.
  • Experience with donor databases/CRM systems strongly preferred.

Skills & Competencies

  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information with discretion and professionalism.
  • Skilled at prioritizing, multitasking, and meeting deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Event planning and coordination experience is a plus.
  • Commitment to ACS’s mission and vision, experience in the pro-democracy field a plus

Work Environment

  • ACS is located in Washington, DC. This is a hybrid position requiring three days in the office per week.
